OEM Fastener RFQ Checklist for US, Canadian and Mexican Automotive Buyers

A practical OEM fastener RFQ checklist covering drawings, materials, coatings, inspection documents, packaging and supplier approval for North American automotive projects.

Why a Complete RFQ Matters

For automotive OEM, Tier 1 and Tier 2 projects, an RFQ is more than a request for price. It is the technical hand-off between the buyer, engineering team and fastener manufacturer. A complete request helps suppliers compare the same specification and reduces avoidable delays during sampling and production launch.

1. Define the Part Clearly

Include the part number, drawing number and revision, readable 2D drawing, 3D model when needed, material and property class, thread size and tolerance, critical dimensions, sample quantity, annual demand, target production date and delivery plant. Always show the drawing revision in the RFQ and quotation comparison sheet.

2. Describe the Application

State the assembly location, joint function, loading, vibration, installation method, torque or preload requirements, temperature range, exposure to road salt or chemicals, contact with dissimilar metals and whether the joint is safety-critical. For EV battery applications, identify whether the fastener is used inside the enclosure, on a structural cover, in a cooling attachment or at an external chassis interface.

3. Specify Material, Strength and Threads

Define the material grade, property class, hardness, heat-treatment condition, tensile or proof-load requirements, thread system, diameter, pitch, tolerance and thread length. Property classes such as 8.8, 10.9 and 12.9 do not define the complete part; material selection, forming limits, heat treatment, thread geometry, coating and inspection still need to match the application.

4. Define Coating and Corrosion Protection

State the coating type, corrosion-test method, acceptance criteria, coating thickness, friction requirements, thread allowance, hydrogen-embrittlement controls and required certificates. Dacromet, zinc-nickel, galvanizing and other finishes are not interchangeable. The choice depends on the environment, joint design, strength level, dimensional limits and compliance requirements.

5. Set Quality and Traceability Requirements

Define the required dimensional reports, hardness or tensile tests, thread tests, material and heat-treatment records, coating and corrosion records, first-article inspection and batch traceability. Ask how the finished batch connects to the raw-material lot, tooling, production date, heat treatment, surface treatment, inspection records and packaging label.

6. Separate Supplier Approval from Part Approval

Ask about manufacturing equipment, engineering and tooling capability, inspection systems, subcontracted processes, traceability, change control, corrective action, capacity planning and export experience. Separately clarify sample quantity, dimensional reports, process-flow or control-plan expectations, packaging approval, production validation, customer forms and change-notification rules. If PPAP or a customer-specific submission level is required, state it in the RFQ.

7. Include Commercial and Logistics Inputs

Provide prototype, sample and annual quantities, release pattern, forecast horizon, tooling ownership, packaging rules, delivery term, currency, payment requirements, quote validity and response deadline. Ask suppliers to separate unit price, tooling, secondary operations, heat treatment, surface treatment, inspection, packaging and freight so cold-heading, CNC-machining and hybrid quotations can be compared fairly.

Technical: part number, drawing revision, material, property class, thread, critical dimensions, application, environment and coating. Quality: inspection plan, required tests, certificates, traceability, sample requirements, PPAP or customer-specific submission and change control. Commercial: prototype and annual volume, forecast, tooling, packaging, delivery destination, quote validity and response deadline.

EV Battery and Chassis Considerations

For EV battery and chassis parts, add preload, installation torque and angle, reuse or single-use condition, vibration, fatigue, thermal cycling, road-salt or coolant exposure, electrical isolation or conductivity, galvanic compatibility, thread-locking, sealing, cleanliness and service requirements. Do not select a material or coating based only on the phrase EV fastener; the drawing, joint function, environment and assembly process should control the decision.
